How An Online Timer Can Rock Your Work Day

In the virtual workplace, timers are an essential tool to accurately track the time worked for our clients. Our billed time is a time keeping record that our clients can review. Time billing also demonstrates what tasks are more time intensive, which is useful for clients to measure resource allocation.When you work as a virtual assistant, you’ll be managing your own invoicing and billing, and for newbies it takes some practice to make the shift from salaried position to timed billing. No doubt you’ll be learning programs for timed billing such as TeamWork and Toggl. It’s important to be diligent about your timed work because it impacts both the income of your client and yourself.

Besides timed billing, you can utilize timers for productivity.  I’ve talked about this before, using the pomodoro method. The tips below will help you become more comfortable using a timer and more accurate in your daily work itemization.

  1. Maximize your personal efficiency

You know that saying that if you want something done, ask a busy person?  Science has proven that it is true! 

If you set a time limit for a task, you are less likely to become distracted by things like social media. If it’s taking too long to complete some of your work, step back to re-evaluate the task at hand, and then set your timer.  As the timer creeps towards your time limit, you’ll be motivated to focus on the task and work more efficiently. This means more tasks completed, more client hours, and ultimately, a larger paycheck.

  1. Objectively identify which clients are wasting your time

Use an online timer to track your billable and non-billable time.  A timer tracks your hours by project, and that can be further broken down to capture billable and non-billable time.

You know that client that seems to take up 80% of your day but only makes up about 5% of your revenue?  It can be hard to objectively quantify this unless you use a timer.

With the reporting from your billed time, You can work with the client on a different billing structure. You can make the decision to respectfully terminate your business relationship with that client.  Perhaps most importantly, you can use this information to identify weaknesses in your own process and make improvements.

  1. Improve the accuracy of your invoices

Never underestimate how important an accurate invoice can be for developing business.  It’s something that places you ahead of the crowd. Clients don’t like surprises, especially when they come in the form of an inflated invoice. Clients are more likely to pay and pay on time when they have an invoice that’s close to what they expect.  Bonus points for you if there’s an itemized breakdown of tasks. Remember, it’s better to be more detailed in your invoices than too vague.
